Eons Picnic SKIT: Fun, Food, Music

The First Eons Picnic SKIT was a lot of fun. The sky was blue, the sun was shining, and a gentle breeze blew. This after days of rain, rain, rain. It's all in the timing, huh? Partying with us were the Eons Team and ... jack02138, LadyLilac49, LadyLilac49’s guest, LiveNKickin, LiveNKickin's guest Doug, Lynne, Reed, Skyleah, susan7, Varsha, Varsha’s guest Jim. It was so fun when I took off my big sunglasses that were hiding my blue glasses and Varsha said, "oh, it really is you, Suzy! I wasn't sure you were a real person!" Well, yes I am.

In honor of our athletes, we’re launching a "Pass the Torch" challenge! Our goal is to literally, pass this virtual torch to 100,000 people on Eons over the next two weeks! I'm coming out to Minnesota to visit my mom and will be doing a "Minnesota in May GRIN" (Group-IN, for those of you who are new to the term) for dinner. I would love to meet as many Minnesota Eons Members as possible on Saturday, May 10th. Details will be provided over the next few days. One thing we already know, Jeff Taylor is buying the first round of drinks for everyone! Since I need a rough count of the number of people attending, please respond to Slyver's "Suzy's coming" post about it in the Eons in Minnesota Group.

Sure hope you can join me.

I'm heading down to "GRIN with Texas" in San Antonio Dec. 8-9.

Current plans for Saturday, Dec. 8 in San Antonio:
AM mission tour and breakfast
LUNCH maybe in the Mercado (Mexican market)
Afternoon shopping or on your own (Holiday Arts & Crafts Show on the Riverwalk)
DINNER at Hard Rock Cafe exchanging white elephant or gag gifts
PM ride the boats and enjoy the lights.....

SKITS & GRINS Organizer’s Checklist

Here's a first pass on a basic checklist to quick-start a GRIN. It may get into too many details, not work for your event, etc., but it's somewhere to start. Edit suggestions are most welcome. We'll update as we grow.

* Pick an event around which to build the GRIN and post an announcement about it in the group.
* Pick the date and define the duration.
------ Some events already have a specific date, e.g., Mardi Gras, Jazz Fest.
------ Some events need a date, e.g., Bicycle Tour, Holiday Brunch.
* Give a deadline for people to respond if they will be able to attend or not, so you have a general idea of a head count.
* Pick a central venue where you can have a communications hub -- hotel, restaurant, etc.
* Network in your group. Ask if anyone has any connections to get deal on accommodations, travel, activities, meals, etc. Contact the venue (if appropriate) and let them know you're bringing a group and ask for any "deals."
* Create a "budget"
------ Price out accommodations, meals, activities, tours, etc.
------ Offer a range of options
* Create a tentative itinerary.
------ Choose a hotel that offers free continental breakfast and let breakfast be up to each individual to do on their own rather than a planned meal each day that people feel obligated to get up and attend.
------ Let the events start right before lunch. You dont know the participants sleep habits.
------ Identify activities and pick restaurants for different meals. Locals may have great suggestions for this part.
* Formulate a communications plan for the duration of the event.
------ Give everyone coming at least 2 contact numbers. Do this ahead of time through PMs or email. Double check to make sure the numbers work and are the right numbers. Make sure no one gets left out because they could get hold of someone to participate.
------ Have an "arrival" plan
------ Have a "party" plan
------ Have an "activities" plan
------ Have a "meals" plan
* If it's a hotel-type event:
------ For the check in have a room booked with a welcome table set up with folders with all the paperwork and plans arranged inside as well as a name tag for each day of the event.
------ Have participants check into their room, then come to “ball room C” to check in with the group and sign in. Make sure everyone gets their folder, socialize and have light refreshments ready for them (if this fits with the event and budget).
* If it's a "come and go" event (for example, the GRIN lasts 7 days, but participants arrive/depart throughout), be certain to have a fool-proof communications plan that will ensure they can get hold of someone when they arrive.
* Collaborate with some key members to flesh-out the GRIN. Nail down the decisions.
* Start to publicize/invite people.
* As you get feedback/suggestions, be flexible, but maintain the purpose of the GRIN.

SKITs & GRINs Calendar

I just uploaded an Excel spreadsheet calendar of the SKITs and GRINs I've been able to find. Each event is linked to the post on Eons that has the details.

If you know of some you want added, just PM CommunityGal or Dellh553 with the event info (including the link to the post that describes it), and we'll update the file. I'm looking forward to filling this calendar -- it will make me GRIN!
